Terms & conditions

1. Definitions

• a) Provider: Raven bv, Excelsiorlaan 16, B-1930 Zaventem, Belgium (BE0663.545.920).
• b) User: Any person, consumer or business client who makes use of the services offered by Raven bv.
• c) Consumer: A natural person acting for purposes outside their trade, business, craft or profession.
• d) Business client: Any user who is not a consumer.
• e) Services: Escape rooms, Virtual Reality experiences, event spaces and party halls, including catering and decoration options offered by Raven bv.
• f) Presumed amount due: The amount the user would owe on the basis of rates or quotes.

2. Applicability

These terms and conditions apply to all offers and agreements between Raven bv and the user.

The user's terms and conditions apply only if expressly accepted in writing by Raven bv.

By accepting an offer, these terms automatically apply to all future agreements.

3. Interpretation

These terms and conditions are interpreted in accordance with Belgian law.

If a provision is found to conflict with Belgian law, the remaining provisions stay fully in force.

4. Payment

Invoices are payable within 15 days. A different term (e.g. 30 days) is possible — ask beforehand and we'll put it on the quote.

In case of late payment:

• interest of 10% per year from the due date
• a fixed penalty of €50
• if a payment is owed to the user, the same interest applies after notice of default

Administrative payment conditions:

• A Purchase Order (PO) must be provided at least 2 days before the scheduled event.
• If the PO is submitted late, after the invoice has been drawn up, a penalty of 1% of the invoice amount applies, with a minimum of €25 and a maximum of €150.
• Correct invoicing details must be provided at least 2 days before the scheduled event.
• Changes to invoicing details after the invoice is drawn up incur the same penalty.
• If the 15-day payment term cannot be met, the user must inform Raven in writing beforehand.
• Discounts on invoices expire automatically if the invoice is more than 30 days overdue.

5. Booking and cancellation

• Small groups (up to 20 participants):
  • Free cancellation up to 2 weeks before the event
  • 50% of the costs due on cancellation 1 to 2 weeks before the event
  • 100% of the costs due on cancellation within 1 week before the event
  • Small changes (up to 4 participants) allowed up to 48 hours in advance at no extra cost
• Medium groups (21–40 participants):
  • Free cancellation up to 3 weeks before the event
  • 50% of the costs due on cancellation 2 to 3 weeks before the event
  • 100% of the costs due on cancellation within 2 weeks before the event
• Large groups (more than 40 participants):
  • Free cancellation up to 4 weeks before the event
  • 50% of the costs due on cancellation 2 to 4 weeks before the event
  • 100% of the costs due on cancellation within 2 weeks before the event
• Catering adjustments:
  • Changes are free up to 2 weeks before the event
  • After that, 100% of the catering costs are charged
• Special cases:
  • Cancellations due to force majeure (e.g. pandemics, natural disasters) are assessed individually
  • Any change outside the cancellation period incurs an administrative fee of €25 per change

6. Liability

• Raven is not liable for damage caused by force majeure, such as natural disasters, pandemics, power outages, defects, theft, strikes, medical conditions not reported in advance by the user to Raven, or government measures.
• Raven's liability is limited to direct damage and to the maximum amount covered by the insurance policy at KBC.
• Indirect damage, such as loss of profit or reputational harm, is excluded.
• Claims under €200 are not accepted.
• Raven is only liable for damage caused by gross negligence or wilful misconduct.

7. Jurisdiction

The agreement is governed by Belgian law.

Only the courts of the Brussels district or the justice of the peace of Zaventem are competent.
